Caldwell University invites applications for a full-time Associate Vice President of Finance & Controller. The position serves as the chief accounting officer of the University. This critical leadership role is responsible for the integrity of the institution’s financial records, the design and maintenance of a robust internal control environment, and the leadership of the core business office. Managing a budget of $45M, the AVP ensures compliance with GAAP and higher education regulatory standards while providing strategic partnership to the CFO.
The AVP oversees all daily financial operations, including general ledger management, accounts payable, financial reporting, and external audit preparation.This is an on-campus leadership position requiring regular interaction with university faculty, staff, and students. Occasional evening or weekend work may be required during peak periods such as year-end audit or budget season. Job duties include, but are not limited to:
Financial Leadership & Oversight
Financial Reporting: Direct the preparation of monthly, quarterly, and annual financial statements in accordance with FASB standards for non-profit higher education.
Audit Management: Serve as the primary liaison for external auditors; lead the annual financial statement audit and the Single Audit (Uniform Guidance) for federal awards.
Internal Controls: Establish and monitor comprehensive internal controls to safeguard university assets and ensure data integrity across all financial systems.
Tax & Compliance: Oversee the preparation of IRS Form 990, 1098-T reporting, and state/federal regulatory filings.
Operational Management
General Ledger: Manage the month-end and year-end closing processes, ensuring all reconciliations (bank, investment, and inter-fund) are completed timely.
Treasury & Cash Flow: Monitor daily cash positions and short-term investments; manage drawdowns for federal grants and restricted gift funds.
Grants Accounting: Ensure rigorous compliance and reporting for federal, state, and private grants.
Team Leadership & Development
Provide direct supervision, mentorship, and professional development for a team of three:
-Accounting Unit Manager/Supervisor: Oversight of general ledger and financial reporting.
-Staff Accountant: Oversight of reconciliations and fixed assets.
-Accounting Coordinator: Oversight of Accounts Payable (AP) and disbursements.
Foster a culture of service excellence, accuracy, and continuous process improvement within the Business Office.
Bachelor’s degree in Accounting is required. CPA certification is strongly preferred. 7 to 10 years of progressive accounting experience is preferred, ideally in a higher education or complex non-profit environment. Advanced proficiency in ERP systems (e.g., Ellucian Colleague, Banner, Workday, Jenzabar J1 is preferred ) and expert-level Excel skills. A deep understanding of fund and grant accounting, net asset classifications, and endowment management is required.
